MINUTES OF THE MEETING OF BAKEWELL GOLF CLUB MANAGEMENT COMMITTEE HELD AT THE CLUBHOUSE AT 7.30PM ON MONDAY 16TH MAY 2022

1. Welcomes and apologies. JB welcomed Members to the meeting. Apologies had been received from Steve Boam, Phil Buckley, Gordon Paterson, David Turner and Peter Wright

Minutes of the last meeting had been circulated and were agreed as a correct record.

Matters arising and review of actions
(3) Signage still to be arranged – vehicle and road warning sign for 8th (please ensure the road is clear prior to teeing off); reminder for visitors to pay and notification that they may be challenged on the course for the 1st.
4. Greens Report had been circulated.
DW added:-
Thanks were due to the working party who had improved paths around the 1st Green and to all members who continue to work around the course and gardens.
There has been a problem with the irrigation system beyond the 2nd green which is in the process of being fixed.
The junior tee markers have now been repainted and will be put out this week.
Following a question about the greens being bobbly DW advised that they are being verticut and that bobbles should be eradicated within the month.
Tree surgeon had visited the club and had suggested the ivy growing on trees on the approach to the entrance, be removed – this will be done by the Tuesday volunteers. Following its removal the tree surgeon will come back in a month to assess what action needs to be taken with the trees. There is a concern about ash die-back.
MB reported an area by the boundary of the 10th fairway where stubbly re-growth of brambles and bushes needs to be removed.
DWi asked if it would be possible to cut the semi shorter.
DW confirmed that BCG had been accepted on the Derby University De-carbonisation programme and that he had attended a further virtual meeting on the subject. The scheme will include an assessment of renewables, biodiversity and forward planning.
5. Secretary’s Report
JG reported that she and SH had met with George McKenzie of Coolstones and gave Members a
brief overview of the discussions.
JG thanked GH for locking-up the clubhouse on three recent evenings. It was agreed that when the occupants of the cottage are unable to lock up for any reason, responsibility for ensuring this is done should fall to the tenant. (JG to speak with tenant)
DW will explore ways of resurrecting of replacing the Club’s current Instagram account and will be added to the Admin for Facebook (DW to look at instagram)
6. Website
GH gave an overview and explanation of the IT systems used both for the website and the booking system. He emphasised the need to appoint a committee member with IT skills to take on the role of fixtures and events to include update and maintenance of IT systems along with liaison and planning with the caterer. It was agreed that this position would be advertised along with other Committee roles prior to the AGM. (JG to make membership aware)
It was agreed that no visitors would be able to book during competitions, before 12.30 on Saturday mornings or during normal Regents hours on Tuesday mornings. It was also agreed that a twilight rate, which would offer an approximate reduction of 25% would be offered after 4pm each day.
As a trial it was also agreed that the system would allow visitors to book 2 weeks in advance and that members could book 4 weeks in advance (Post meeting note: it has been found that there is a problem on the system which only allows a change to a period of 3 weeks in advance for member booking) (JG will email members and advertise the twilight rate, where possible, locally)
7. Finance
SH presented and took members through the 2021/2022 account for period ending 31st March
2022. These showed record green fees for the year and a healthy balance going forward.
The 2022/2023 accounts for period ending April 30th 2022 were then presented. Both subscriptions and green fees are down on the previous and may be a cause for concern.
SH then took Members through the contents of the final accounts for 2021/2022 which will be presented to the Membership at the November AGM
SH gave details of a party interested in grazing the Club’s land which had been recently vacated by the previous tenant. This farmer wants to graze sheep on the land and is aware that there is a possibility that solar panels could, at some time in the future, be erected in the field alongside the 9th fairway.

JM advised that there are now only 2 possible outstanding payments to be made from those who were members last year. There have been 19 resignations from the following membership categories:- Full members (9); Senior members (3); 22/35 age group (3); 19/21 age group (2); and Juniors u.15 (2). The current membership of 144 is a similar figure to that of 2 years ago.
JM informed the meeting that he will not be standing as Membership Secretary next year and was warmly thanked by SH and all other Management Committee members for his hard work. JM offers support to whoever takes over and to the Club in general going forward.
9. Ladies and Men’s Competitions
PW reported that the Bunny Hop had again been a great success raising £427 for the Club. Val Cousin and her team were thanked for their hard work.
Singles and Meevagh Collins competitions had now been drawn although the number of entrants in each of these comps is low. All other competitions are on schedule.
MH had received a report on Men’s Competitions and this was presented to the meeting and is attached.
10. Captains’ Reports
JB presented reports of both the Men’s and Ladies Captains.
Steve wished to note that the catering and service received following a home “B” Team match had been excellent.
Both Jo and Steve were disappointed that, through lack of interest, the Captains’ away day planned for next week had been cancelled
JB reported that the Ladies Silver team had so far won 4 and lost only one match. Two games (one home and one away) remained before the semi-finalists are known.
We had played a match in the National Mixed Team Knockout at Erewash where the team had narrowly lost.
Ladies Taskers had lost 8-6 over the two legs of their match against Horsley Lodge. 11. Junior Golf
MH reported that two new teenage children are interested in starting lessons – as they are joining part way through the course it was agreed that they could be offered a reduced price.
MH welcomed the promise of a “honesty bar” fridge with cold drinks for use whilst bar is closed. It was agreed that this should be in place as soon as possible, especially if the bar will no longer be open for use of parents waiting for children during junior coaching. The possibility of tea and coffee making equipment being available outside bar hours was also raised. (JG to contact George)
MH would like to explore options to get juniors out on the course and competing/practicing especially at the conclusion of junior coaching in July. She has visited the Junior Organiser at Matlock to discuss options. The option of joining the Golf Access Programme was discussed and committee was keen to follow this up. MH will find further details. MH suggested incorporating a fund-raising competition specifically for use of the junior section, into the golfing calendar.
12. Health and Safety
JG had been informed that there had been a small pan fire in the kitchen recently which was immediately put out with the fire blanket and had been advised that no damage had been caused. Coolstones will replace the blanket. Requirements for fire safety checks emphasised and information will be sought. (JB will make enquires)
13. Any other business
DW asked if the Captains’ would be organising an alternative away day but JB said this is not
likely.
